Job Overview:

General Manager/Head of Operations lead the daily operations and administrative functions of our Vietnam business. This role encompasses all operational aspects of the business including human resources, daily operations and administrative processes together with overseeing import and customs processes, VFA registration coordination, stock and delivery management, and compliance requirements for an FDI entity.

The position also carries delegated authority to review and sign operational and statutory documents needed for smooth business operations.

Responsibilities:             

1. Operations Management

  •  Lead daily operational flows, including inbound shipments, warehouse coordination, inventory tracking, and outbound deliveries.
  • Ensure timely, accurate order fulfillment for e-commerce customers and retail partners.
  • Maintain strong communication with logistics partners and internal teams.  

2. Import & Customs Coordination

  •  Manage full import procedures: shipment follow-up, document checks, and coordination with customs and forwarders.
  • Review and approve customs clearance documents.
  • Ensure all import files (GI/CI/PL, COA, invoices, etc.) are accurate and complete.

3. VAT & Import Tax Compliance

  • Work with the accounting team on VAT filings and import tax settlements.
  • Review calculations and ensure timely submission and compliance.
  • Maintain organized and complete tax-related records. 

4. Product Registration Support (VFA)

  • Coordinate with consultants and partners on product registration, renewals, and amendments with VFA (Cục ATTP).
  • Prepare and track all registration documents.
  • Keep an updated overview of statuses and timelines for each SKU.  

5. Corporate Administration & Documentation

  • Handle administrative procedures and statutory documents required for an FDI company.
  • Review and sign key operational, import, and compliance documents within delegated authority.
  • Maintain proper filing of licenses, approvals, and company records.

6. Finance Coordination (Non-Accounting)

  • Review payment documents, cost sheets, import duty files, and operational expense records.
  • Support accounting during monthly compliance reports and annual audits.
  • Ensure proper internal controls and documentation flow.

 

REQUIREMENTS

  1. Vietnamese national, eligible to act as an authorized legal representative for an FDI company.
  2. At least 5 years of experience in similar roles within the FMCG, trading, import/export, or related industry.
  3. Confident working with spreadsheets and operational documents.
  4. Responsible, organized, detail-focused, and able to manage multiple tasks.
  5. Basic English for communication with HQ team.
  6. Solid understanding of:
  1. Vietnam FMCG market & trading business
  2. Import and customs procedures
  3. VAT and import tax processes
  4. VFS product registration workflows 
  5. Warehouse operations and delivery management
